INFORMATION AND ANALYSIS in quality MPM management

The Information and Analysis criteria examine how data is collected, analysed and used throughout the MPM unit, and evaluate how well the information system supports management.

Two aspects are considered:

evaluates scope of data and information, and its method of collection 

evaluates analysis methods and the ways in which information and data are used

Collecting data - checklist
Ask: 

How is the data selected and collected?

Is data on the internal environment of the MPM unit collected eg. data on interactions between MPM team members, data on administrative processes, and data on service delivery processes?

Is data on the external environment of the MPM unit collected eg. data on interactions with residents, suppliers, other councils and other stakeholders?

Some specific questions to be considered are:

1. Is the data that is collected useful? Does it contribute to planning and day-to-day activities?

2. Is a wide enough range of data collected to allow the MPM unit to monitor the various aspects of its activities eg. data relating to clients of the unit, internal operations, human resources, organisational performance and financial parameters?

3. Do the data collecting processes used ensure that the data collected is reliable, consistent and standard?

4. Is the data readily available to all members of the MPM unit that need it?

5. Does the MPM unit formally monitor its data collection processes and measure such indicators as cycle time (how long it takes for data to be adequately processed) and degree of dissemination (Does everyone in the unit who needs access to the data have access?)

6. Does the MPM unit strive to improve its data collection system by improving its reliability and effectiveness?

How is the data used to achieve MPM objectives?

1. Is data analysed to support key objectives and functions of the MPM unit?

2. How is an understanding of variation reflected in key MPM policies and activities?

3. Does the MPM unit strive to improve its use of data and statistical techniques?

4. Is there any evidence of the use of data and statistical analysis techniques to improve the activities of the MPM unit?
